The terms under which Receptra LTD provides its services and website.

These Terms and Conditions govern your use of the Receptra LTD website and any services provided by Receptra LTD ("Receptra", "we", "our", or "us").

By accessing our website, booking a discovery call, requesting information, or engaging our services, you agree to these Terms and Conditions.

2. Our Services

Receptra provides professional outsourced support services for healthcare clinics, including but not limited to:

  • Virtual reception services
  • Administrative support
  • Appointment booking and diary management
  • Patient communication support
  • Outbound patient follow-ups
  • Other agreed support services

The exact scope of services will always be agreed in writing before work begins.

Receptra does not provide legal, medical, financial or other regulated professional advice.

3. Service Agreement

Before any services commence, every client must enter into a formal Service Agreement with Receptra LTD.

The Service Agreement sets out, amongst other things:

  • Services to be provided
  • Pricing
  • Payment terms
  • Service hours
  • Notice periods
  • Confidentiality obligations
  • Data protection responsibilities
  • Operational procedures

Receptra reserves the right to delay or refuse the commencement of services until the required documentation has been completed and any applicable initial payment has been received.

4. Client Responsibilities

Clients agree to:

  • Provide accurate and up-to-date information
  • Provide appropriate access to required systems
  • Supply clear instructions and operational procedures
  • Comply with all applicable laws and regulations
  • Use our services lawfully and responsibly

Clients remain responsible for the accuracy of the information and instructions they provide to Receptra.

5. Service Availability

Service hours depend on the package or services agreed between Receptra and the client.

Where applicable, extended hours, Saturday cover and other additional services will be detailed within the Service Agreement.

6. Fees and Payment

Unless otherwise agreed in writing:

  • Services are invoiced monthly in advance.
  • The first payment is due before services commence.
  • Payments are processed securely through approved payment providers.
  • Prices are quoted in the agreed billing currency.
  • Receptra may revise pricing by providing at least 30 days' written notice.

7. Cancellations

Either party may terminate services by providing 30 days' written notice, unless otherwise agreed within the Service Agreement.

During the notice period:

  • Services will continue to be provided.
  • Charges remain payable.
  • Partial refunds are not provided for unused services.

8. Client Conduct

Clients must not:

  • Harass, threaten or abuse Receptra staff
  • Request illegal or unethical activities
  • Provide malicious or fraudulent instructions
  • Misuse Receptra's services
  • Request access that is unnecessary for service delivery

Receptra reserves the right to suspend or terminate services where client conduct is considered inappropriate, unlawful or places our team at risk.

9. Limitation of Liability

Receptra will always use reasonable skill and care when delivering its services.

However, Receptra shall not be liable for:

  • Loss of revenue or profits
  • Indirect or consequential losses
  • Errors resulting from inaccurate or incomplete client instructions
  • Failures or outages of third-party platforms
  • Issues arising from client-owned systems
  • Events beyond our reasonable control, including power outages, internet failures, industrial action, pandemics or natural disasters

To the fullest extent permitted by law, Receptra's total liability shall not exceed the value of one month's service fees paid by the client.

Nothing within these Terms excludes liability where such exclusion is prohibited by law.

10. Intellectual Property

All content published on this website, together with Receptra's branding, documentation, training materials, internal processes and other intellectual property, remains the property of Receptra LTD unless otherwise stated.

No material may be copied, reproduced or distributed without our prior written permission.

11. Privacy and Data Protection

Receptra is committed to protecting personal information and processes data in accordance with applicable data protection legislation.

12. Changes to These Terms

Receptra may update these Terms and Conditions from time to time.

Where changes affect existing clients, we will provide appropriate notice where required. The latest version will always be available on our website together with the updated "Last Updated" date.
